What's This Job All About?

Coordinate and manage non-traditional assets, primarily real estate and closely-held assets, within the workflow of various types of administration. Duties are carried out under general supervision and individual is responsible for daily independent decisions related to servicing clients.

 

What You'll Be Doing

Principal Accountabilities:

  • Create positive relationships with external clients and co-workers.
  • Coordinate services with outside vendors and service providers, such as inspectors, property managers and property maintenance.
  • Manage all aspects of acceptance and administration of real estate, including but not limited to:
    • Verifying correct titling/and obtaining surveys if appropriate
    • Valuation
    • Mortgages/Loans
    • Insurance
    • Paying property taxes
    • Completing Inspections/Photos, and obtaining professional inspections if appropriate
    • Assess Environmental Issues, including obtaining Phase I and II testing if appropriate
    • Prepare and maintain appropriate paperwork/compliance
    • Hire and monitor property managers if needed
    • Monitor and collect rents if needed
    • Assist estate settlement with property management, including general maintenance, changing locks, utilities, etc.
    • Supervise the sale of real estate, including all paperwork, preparation of property for sale, and obtaining internal approvals.
  • Manage all aspects of acceptance and administration of closely-held assets, including but not limited to:
    • Documentation of Ownership
    • Review governing documents, i.e. partnership agreement, buy/sell agreement, articles of incorporation, by-laws, names of key owners/employees, minutes
    • Review valuation and methodology, including basis
    • Review business insurance, i.e. errors and omissions, business continuation
  • Schedule and coordinate with team members to ensure team communication, meeting preparation and timely completion of tasks.
  • Decision making ability to problem-solve and manage workflow efficiently.
  • Preparation of business letters and various other forms of written communication.
  • Facilitate processing of deposits, withdrawals or other financial transactions.
  • Schedule client and/or vendor meetings and assist in the preparation of meeting materials, host post-meeting-meetings to understand the necessary follow-up tasks and assign due dates and responsible parties for all.
  • Prepare and ensure completion of documentation necessary to meet policy requirements, including discretionary action requests, original documentation coordination, and asset setup, pricing and maintenance.
  • Develop and maintain a basic understanding in key areas such as trust and estate planning, investment management, retirement planning, tax planning and other areas touching the clients' lives.
  • Actively participate in event-driven marketing events for location clients.
  • Provide general assistance and support ("back-up") for any appropriate position or function within the Personal Trust, Governance, Risk & Compliance or other areas of Greenleaf Trust as needed.
  • Bill pay processing and tracking for client care team.
  • Property tax voucher and processing
  • All other duties as assigned.

What You Need for this Position:

Bachelor's Degree and a minimum of five years' professional office and customer service experience, or equivalent education and experience required. Prior financial services/real estate/estate settlement and customer service experience preferred, but not required.
